Terms of service
Last updated: 2026-10-18
1. Scope
These terms govern the use of Formfeed, a document generation service of Philipp Staudt IT-Dienstleistungen, by business customers. Consumer use is not offered.
2. Service
Formfeed renders PDF and image documents from templates and data, fills Word and PowerPoint templates and converts Office documents to PDF, through an API and a web editor. Plans, included units and limits are described on the pricing page. We may change the service as long as its core functions remain available.
3. Accounts and acceptable use
You are responsible for your API keys and for the content you render. You must not render illegal content, attack the service or circumvent limits. We may suspend accounts that endanger the service.
4. E-invoices
On the plans that include them, Formfeed creates invoices in the ZUGFeRD / Factur-X format from the invoice data you send and validates every file before it is delivered: the XML against its schema and the rules of the chosen profile, which include the business rules of EN 16931, and the PDF against PDF/A-3b. A file that fails is not delivered. We answer for the format: a file we deliver has passed the validation its report names, in the release of the rules the report names.
You issue the invoice and answer for its content: that the invoice data is complete and correct, how the transaction is treated for VAT (rates, categories, exemptions and their reasons), that the document shows the same details as the XML it carries, and that the invoice is sent, received and archived as the law requires. Validation proves the format and the business rules, not the content: an invoice with the wrong VAT rate passes. The display check looks only for the invoice number and the totals in the text of the PDF.
Formfeed is a tool and gives no tax or legal advice. We do not determine the VAT treatment of your transactions, and nothing in the service, the documentation or our support does. Formfeed is not certified or approved by any tax authority, and it is neither a transmission platform nor a Peppol access point: Formfeed makes the file, and you or your platform send it.
The format and its rules are set by third parties, and they change. We follow new releases within a reasonable time; until then a file is validated against the release its report names. For the format we are liable as section 8 says. For the consequences of an invoice’s content, such as VAT owed because of a wrong rate, we are not liable, because the content is yours.
5. Fees
Fees are shown net in EUR and billed monthly or yearly in advance through Stripe as merchant of record. Overage is billed per 1 000 units at the end of the period. Unpaid invoices may lead to suspension after a reminder.
6. Availability
We aim for 99.9 % monthly availability of the API. Planned maintenance is announced on the status page. Availability commitments with credits are part of the Enterprise plan.
7. Data
Your templates and data remain yours. We process them only to provide the service, as described in the privacy policy and the data processing agreement.
8. Liability
We are liable without limit for intent and gross negligence and for injury to life, body or health. For slight negligence we are liable only for breach of essential contractual duties, limited to the typical foreseeable damage and to the fees paid in the twelve months before the event.
9. Term and termination
Monthly plans renew monthly and yearly plans yearly; either can be cancelled at any time to the end of the current period. You can delete your organisation at any time; data is removed 30 days later.
10. Final provisions
German law applies. Place of jurisdiction is the seat of the provider, if you are a merchant. Should a provision be invalid, the rest remains in force.
